Supervisory Medical Administration Specialist (HAS) - Department of Veterans Affairs - Augusta, ME





This position serves as the Supervisor of the Health Administration Section (HAS), Business Office, located at the VA Medical Center, Augusta, Maine. The incumbent supervises four (4) Supervisory Medical Support Assistants, is second line supervisor to approximately 42 Medical Support Assistants and has full responsibility to design, evaluate and develop training plans and programs related to Primary Care, Specialty and Mental Health outpatient clinic scheduling/check-in and pre-registration.

Duties of the position include, but are not limited to:


  • Implements and monitors Health Administration Program policies that include policies and procedures in the following areas: outpatient clinic scheduling/check-in, clinic profile management, recall software, Decentralized Hospital Computer System, Insurance Capture Buffer (ICB), Kiosk and pre-registration, encounter closeout for both VERA and third party collections processes, and dissemination of information and medical benefits to eligible veterans.

  • Ensures activities are accomplished in accordance with agency policy and regulations. Establishes criteria for the quantitative/qualitative review of HAS program issues and reports findings to business management.

  • Provides advice and guidance on health administration programs in relation to such issues as formulating plans, evaluating and coordinating the day-to-day administrative management of the HAS program.

  • Coordinates, implements and continuously monitors new programs so that complete and accurate data is available.

  • Refers Veterans to the Enrollment/Eligibility section of the Business Office for assistance with completing means tests, enrollment applications and to obtain new VIC cards.

  • Analyzes clinical and administrative processes related to information flow.

  • Participates in regional site visit training activities and contributes to the development of health administration programs, policies and processes.

  • Serves as an advisor to business management on all aspects of the Health Administration Program including wide variety of outpatient clinic scheduling/check-in and pre-registration issues.

  • Clarifies objectives, relative to the scheduling function of the business office and its relation to the VHA Network practices.

  • Prepares policy memoranda, and/or instructions relating to health administration projects.

  • Completes internal reviews to ensure the work produced meets quality and quantity standards.

Work Schedule: Monday – Friday 7:30am to 4:00pm or 8:00am to 4:30pm.
