Registration Representative job - Inland Hospital - Waterville, ME
Acts as a receptionist for patients, family, friends, and visitors.
Assists in gathering and dispersing of patient data to appropriate departments and physician offices within the hospital.
ESSENTIAL FUNCTIONS AND WORK ROLE RESPONSIBILITIES
1.
Upon admission or registration of patient, applies knowledge of illness, injuries and disease from which data was received from physicians, to appropriately place patients for admission and record accurate insurance information in regards to illness.
2.
Attends regular department meetings and keeps current.
Is responsible for all changes pertaining to registration and department objectives.
3.
Must be able to handle multiple calls with professionalism, directing calls correctly and handling all emergencies through the switchboard with accuracy and self-control.
Registration of patients
:
1.
Greets all patients coming into the hospital in a courteous and knowledgeable manner.
2.
Provides support and knowledge to family, friends, and visitors needing assistance within the hospital.
3.
Ascertains correct patient demographics and Insurance information directly into the computer for use in other departments in a timely fashion.
4.
Directs all patients to their correct destination within the hospital.
Switch Board Responsibilities:
1.
Answers incoming, as well as in house, calls and directs these calls to their appropriate destination.
2.
Ascertains whether a party asked for needs to be beeped, paged, or has to have a message taken.
3.
Makes overhead announcements regarding hospital events and is responsible for announcing all code calls.
4.
Notifies the Fire Department, Police Department, and/or other hospitals in case of emergency.
Also assist
Control
Center
with personnel recall.
5.
Notifies taxicabs if a pick-up or delivery is required.
6.
Operates the radio, assists Security, and transmits messages between Security and staff or physicians.
Also notifies the Police Department and transmits messages if required.
Department Responsibilities
:
1.
Keeps a clean and safe environment for both co-workers and patients.
2.
Keeps knowledge of equipment and their proper maintenance.
3.
Performs all duties according to department standards and according to hospital and department policies and procedures.
4.
Keeps open lines of communication between co-workers and between departments.
5.
Provides support and knowledge to co-workers and other hospital staff in relation to patient information.
6.
Keeps current with insurance changes, and any other changes that might effect the admission or registration of patients.
7.
Is responsible for safety, emergency preparedness, infection control manuals, and department policy and procedure and the knowledge within the, and as applicable to the registration position.

Performs all other duties assigned.
PHYSICAL ENVIRONMENT
Exposure to noise levels from office machines.
Frequent multiple tasks must be performed.
Must be able to prioritize work.
Exposure to computer terminal screen along with overhead lights.
Exposure to toner from copier machines and inked ribbons for printers.
PHYSICAL CRITERIA/EFFORT
Work involves sitting 75% of the time at a computer terminal for outpatient registration and less (50%) for inpatient registration.
There is more walking involved for inpatient registration to floors and some assistance for patients such as carrying luggage or pushing wheelchairs.
There is occasional lifting of boxes of paper for printers.
Repeated bending, lifting, stooping may be necessary.
The incumbent is subject to frustration and fatigue at times.
Excessive exposure to bright lights and computer screens along with noise from department machines.

Maintain a safe environment which includes knowing and understanding hospital and departmental policies and procedures.

Report and directly address identified environmental hazards when appropriate.
3.
Report and directly address violations of patient safety policy and/or protocol when involved or observed.
OCCUPATIONAL RISKS
Occupational injuries may occur from not following policies and procedures regarding:
1)
Infectious patients
2)
Exposure to hazardous materials
3)
Combative patients or upset family members
4)
Infectious materials and sharp objects
PROBABILITY AND CONSEQUENCES OF ERRORS
Errors in registration skills may have a negative outcome on patient public relations and inter-department workload.
NUMBERS SUPERVISED
This is a non-supervisory position
MINIMUM REQUIREMENTS FOR THE JOB
Must have medical terminology, medical Insurance, and computer knowledge.
EDUCATION
College degree preferred or equivalent of experience in a clerical medical setting.
EXPERIENCE
Must have typing experience 40-50 words per minute, along with one to two years computer experience.
Knowledge of billing preferred.
Experience working in a healthcare facility a must.
Experience working with a switchboard preferred.
SPECIAL KNOWLEDGE REQUIRED
Able to work under stressful situations and possess good written and oral communications skills, and the ability to get along with others. Must be able to prioritize with little supervision at times.
