Office Services Manager job - athenahealth - Belfast, ME





Essential duties and responsibilities:
The Office Services Manager will work to ensure that athenahealth’s physical environment is reflective of the company’s people-centric philosophy in that it serves employees’ needs. This person is responsible for the following areas: Oversight of all daily functionality of the Belfast Office Services team, manage all aspects of the Office Services functions at athenahealth, mail services functions, pantry operations in all buildings, multifunction devices, office move coordination and support, and overall support for the needs of all athenistas. The Office Services Manager will work at the Belfast, ME campus. (S)he will report to the Facilities/Property Manager and support all athena locations as needed.


Specific job responsibilities include: Implement and support facilities strategy reflective of athena’s people-centric culture efficiently to effectively support the company’s rapid expansionNegotiate and maintain competitive leasing arrangements for office supplies, copy machines and Mail Services Develop and enhance the ongoing professional office service and mail functions that effectively support the company’s needsSupervise, manage and mentor office service team and mail personnelDevelop, implement and report on Office Services Budget and Operating Plan Collaborate with Reception Services Group to support conference room scheduling, room setup needs Adhere to all aspects of athena’s existing policies and proceduresOversee Service Now request ensuring response times are maintained Manage cleaning contract and night crew to ensure expectations and procedures are being metGenerate purchase orders as needed and manage to the Belfast Office Services BudgetOther duties as assigned by the VP of People and Process.Skills and abilities required:

Overall, the Office Services Manager should possess the skills necessary to guide a team through daily responsibilities and job performance; be able to respond quickly and pro-actively to a variety of service requests by allocating available resources on the team. These abilities include: 10+ years in Facilities Operations experience; direct supervisory experience preferred Proficiency in Outlook; SharePoint, Excel, Power Point, Word; WebEx and familiarity with presentation hardware and software, including video-conferencing equipment.Excellent verbal and listening skills manifested in a calm, empathetic mannerAbility to work effectively under pressureAbility to organize and prioritize work as priorities shift, and to generate solutions to new challengesStrong interpersonal skills manifested in the ability to be a team player and promote a collegial atmosphere in the officeProject management experience a plus
