Central Maine CA$H Coalition Site Coordinator - United Way of Mid-Maine - Waterville, ME


Central Maine CA$H Coalition is seeking a seasonal Tax Site Coordinator for its program based in Waterville, Maine. As an IRS Volunteer Income Tax Assistance (VITA) site, CA$H tax sites offer free federal and state income tax preparation to qualifying residents from January through early April 2016. The Central Maine CA$H Coalition is coordinated by the United Way of Mid-Maine.


Essential Job Functions
The Tax Site Coordinator is responsible for the administration and logistical coordination of a volunteer-run electronic tax preparation site. The Tax Site Coordinator manages all aspects of the tax site, ensuring superior quality and fair service to clients; appropriate application of tax law when preparing federal and state income tax returns; and compliance with IRS privacy and confidentiality agreements when administrating electronic tax returns.


Position requires the use of computer equipment and software; professional management and interactions with volunteers and key stakeholders; and the application of high ethical standards, and adherence to sponsoring organization’s polices, and the Internal Revenue Service’s policies, procedures, and guidelines.


Skills/Experience/Training Required
The Tax Site Coordinator must have a general understanding of income tax law, and will receive IRS-sponsored training. The successful completion of this advanced training course is required to fulfill job requirements. The Tax Site Coordinator must be comfortable with and capable of following IRS electronic filing procedures, and have the ability to translate complex tax law into understandable concepts for clients and volunteers.


The Site Coordinator will manage up to 20 volunteers throughout the duration of the position. The successful candidate will work well in a fast-paced environment while displaying a supportive and professional disposition with diverse populations. Excellent organizational, leadership, management, and technical computer skills required.


Duration of Position, Compensation, and other Requirements


  • Must be available during the entire length of appointment, which includes flexible hours for training and meeting attendance in January 2016, tax site coordination one evening per week and several Saturdays February – March 2016, and final reporting and wrap-up meetings in early April 2015.

  • Time requirements will vary during the season. The Site Coordinator will, on average, work up to 10 hours/week at $20/hour for approximately 16 weeks.

Other Responsibilities –


  • Ensure sites are equipped with appropriate supplies and equipment.

  • Provide oversight of site setup and take down, and ensure equipment is in good working order.

  • Track and compile data for grant and program reporting requirements.

  • Provide oversight of e-file transmission of all e-filed returns; handle and manage e-file rejections.

  • Ensure equipment and data is secure and taxpayer privacy is maintained.

  • Ensure quality review is conducted of all returns, and assist volunteers with questions/concerns.

  • Work with United Way of Mid-Maine Project Director and coalition members to plan and implement volunteer recognition event.

  • Attend coalition meetings.

  • Work collaboratively with the Asset Building Organizer to ensure that all clients have information about and access to resources and events that build a secure financial future, such as matched savings programs and money management classes.

This position offers no benefits, with the exception of limited mileage reimbursement, and use of a CA$H Coalition laptop.
