Under minimum supervision and acting on own initiative and direction, provides complex administrative support for one or more departments or administrative units. Supports a manager, and multiple staff statewide who conduct standardized assessments on adults with intellectual disabilities. Independently schedules complex daily appointments and meeting arrangements between staff and outside parties. Maintains Outlook calendars for assessment staff. Each assessment involves the adult consumer, guardian, case manager, and direct support staff. Coordinates and confirms attendance for all required participants, secures meeting location, and ensures all necessary documentation received prior to the assessment. Provides assistance to assessors who have difficulty locating an interview site or need to contact a case manager or respondents, and rearranges schedules when an assessor is ill. Within 5 business days of the completion of an assessment, emails the case manager the assessment in a password protected .pdf document. Maintains electronic files of submitted documentation. Maintains extensive scheduling spreadsheet for approximately 4,000 consumers, ensuring accuracy of data. Accesses databases to research necessary information for complex reports and special assignments. Executes special or continuous complex data analysis. Analyzes complex problems, determines approach, compiles and analyzes data, and prepares reports/recommendations for action by superior. May act as coordinator of departmental projects, following up on pending details, coordinating project team activities and ensuring deadlines are met. Work is generally of a critical or confidential nature and requires a broad knowledge of departmental and company practices, policies, programs, and product line. Prepares monthly and quarterly reports including graphs and charts. Prepares agendas and minutes at meetings. Provides support and back up to another Administrative Assistant in the office. Works closely with representatives at the State of Maine who provide direction and oversight. Answers mail, phone calls and inquiries on own initiative, routing correspondence to the appropriate person if necessary. Composes, prepares, edits and proofreads reports and other correspondence. Typically uses software packages for word processing, spreadsheets, databases, graphics and desktop publishing applications. Operates general office equipment such as personal computer, typewriter, copier, calculator, fax or other office machines. REQUIREMENTS:
