Position Description and Responsibilities
The Environment Coordinator, Associate located in the Belfast location is responsible for the following areas: support of purchase order requisitioning for athenaEnvironment for both CapEx projects and operating budget spending. This position will also support operational budget analysis for Belfast and Watertown as well as analyzing utility expenses across all geographies. Responsibilities also include electronic file management and structure, intranet content management and Belfast Café vendor relations. This person will also support construction activities managing meetings and consultants as needed. The position also works to support Office Services and Property Management needs in the following areas: supplies, building maintenance, conference room calendar management, vender setups in AP as well as online purchases. The Environment Coordinator will report to the Director of Infrastructure, Belfast.
Specific job responsibilities include: Coordinate the Belfast Reception and Security Team, including daily activities relating to access card system and photo ID’s and generation of monthly audit reports Serve as general liaison for project managers, both internal and external; assisting them in coordinating their resource requests to maximize their productivity. This would include scheduling meetings across multiple sites, the distribution of documentation and taking meeting minutesAct as a back up to other team members as required to provide continued excellent service levelsManage athenahealth’s Pine Tree Zone (PTZ) program with the State of Maine Conduct weekly 1:1 meetings with the Belfast Café chef manager and participate in monthly Café financial and activities reporting Requisition Purchase Orders for athenaEnvironment related spendingMaintain records of all Capital project spending for all locations. Track Utility spending to monitor energy consumption across all geographies Streamline and organize online departmental file structure in accordance with Records Retention PoliciesParticipate in content creation and editing for internal employee intranet Other Duties – Other duties as assigned by the Senior Manager, Property Management or Director of Facilities Infrastructure

Overall, the Environment Coordinator, Associate should possess the skills necessary to guide a small team thru daily responsibilities and job performance; be able to respond quickly and pro-actively to a variety of service requests by allocating available resources on the team. These abilities include: FlexibilityProficiency in Outlook; SharePoint, Excel, Power Point, Word; WebEx and familiarity with presentation hardware and software, including video-conferencing equipmentStrong computer literacy and/or the comfort, ability and desire to advance technicallyExcellent communication skills.
