ASSOCIATE SECRETARY OF THE COLLEGE
Office of Vice President and Secretary of the College

Full-Time, Fiscal Year, Exempt, Administrative Staff Appointment


Reporting to and working closely with the Vice President and Secretary of the College, the Associate Secretary of the College supports all functions and operations within the office of the Vice President and Secretary of the College. The Associate Secretary of the College partners with the Vice President and Secretary of the College with all activities related to the Board of Trustees, including planning and implementing of meetings of the Board and its committees. The Associate Secretary of the College will serve as the primary point person with the Board of Overseers program, Trustee Emeriti and Spouse/Partner programmatic activities. The Associate Secretary assists the Vice President and Secretary of the College on high-level working groups, staff committees, and ceremonial college events.


ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:


  • Provide high-level coordination for all activities related to the Board of Trustees, including planning, site visits and implementation of Board and committee meetings

  • In partnership with the Vice President and Secretary of the College develop agendas and topics for discussion with the President and Board Chair as well as opportunities for continued engagement with students and faculty

  • Prepare research and background information as needed

  • Coordinate scheduling of senior officers to oversee activities of standing committees of the Board and coordinate or staff ad hoc or advisory committees as needed

  • Support all activities related to the annual new Trustee orientation

  • Coordinate and oversee the Board of Overseers program and partner with the Vice President and Secretary of the College to develop other mechanisms for engagement with leaders from a variety of fields

  • Assist in the implementation of activities related to fellowships and medals awarded through the VP/Secretary of the College’s office

  • Coordinate and oversee engagement of emeriti members of the Board

  • Perform additional responsibilities as assigned

QUALIFICATIONS:

  • Bachelor’s degree required; Master’s degree preferred

  • Progressively responsible administrative experience required, preferably in an institution of higher education

  • Understanding and appreciation of governance policies, practices and procedures required

  • Outstanding leadership, organizational, and analytical abilities required

  • Strong interpersonal, presentation and project management skills

  • Advanced knowledge of Microsoft Office Suite with particular emphasis on Excel and PowerPoint

  • Exceptional written and verbal communication skill

PHYSICAL EFFORT/ENVIRONMENT : Position involves extensive sitting, although frequent movement is necessary. Walking, standing, bending, twisting, and occasional lifting are required. Regular computer usage involving repetitive hand/wrist motion is also necessary. Duties require interactions with trustees, senior administrators, faculty, staff, donors, political and community leaders, and visitors. Position requires scheduling flexibility, with occasional evening and weekend hours.
