Office Coordinator job - Inland Hospital - Waterville, ME
Must be versed in most areas of laboratory office operations in order that all laboratory tests be ordered, reported, retrieved, and billed in an organized and timely fashion.
Also must be well groomed and always treat clients in a professional manner being pleasant, sympathetic and courteous.
ESSENTIAL FUNCTIONS AND WORK ROLE RESPONSIBILITIES
Must be versed in most areas of laboratory operations.
Must have an understanding of and utilize proper medical and laboratory terminology in daily work.
Monitors Anatomic Pathology activity and supplies.
Maintains medical and administrative files.
Files all laboratory reports for easy retrieval.
Schedules patients for laboratory work, both for hospital outpatients and Nursing/Boarding Homes when necessary. Collaborates with outside physician offices to maintain continuity of patient care.
Calls/Faxes results of laboratory and pathologist reports to physicians, if necessary. Obtains data, transcribes information Lab Information System and processes necessary billing with Pathology and Clinical orders. Coordinates HIV reports with current confidential standards. Organizes physicians’ standing orders for patients and does routine audits to determine expired orders. Sorts physician requests on lab tests to evaluate appropriateness.
Performs any other essential duties as assigned.
Orders all necessary supplies for the office in a timely fashion.
Has a working knowledge of equipment in the laboratory office. Takes appropriate action when equipment is not functioning.
Has a good working knowledge of the laboratory policy manual and Infection Control/Safety Manual.
Supervises and trains people working in the laboratory office.
Maintains a quiet businesslike environment at all times. Gets along with fellow employees. Takes messages and notifies Lab Manager of any problems.
Takes precaution when handling specimens and chemicals.
Keeps work areas clean of contaminants.
Is aware of infection control policies, laboratory policies, and chemical hygiene plan.
Treats clients sympathetically, courteously, and responds to their concerns in a professional manner.
Places patients at ease.
Responds to hostile patients in a caring manner.
Makes decisions in the absence of the Pathologist and Lab Manager, on specimen handling and laboratory issues. Acts as a resource of effective communication between a wide variety of clientele and departments and displays a congenial attitude that is customer focused.
Coordinates work to achieve maximum productivity and efficiency.
Makes every effort to report to work on time.
Does not abuse break or sick time.
Schedules vacations in a timely fashion.

PHYSICAL ENVIRONMENT
Many problems arise in the office that all need to be handled promptly which, at times, can be quite stressful, especially with the location being a fairly heavy traffic area.
PHYSICAL CRITERIA/EFFORT
Work involves sitting approximately 70% of the time, occasional, standing, working, bending, squatting, and stooping is also required.
Vision and hearing acuity is constantly required.

OCCUPATIONAL RISKS
Although sample handling is minimal, the risk from exposure to body fluids (HIV, HBV, etc.) is always present.
Falls on a slippery floors or back injuries could result from lack of attention or not adhering to proper procedure.
PROBABILITY AND CONSEQUENCES OF ERRORS
Accuracy and alertness are most important when dealing with laboratory tests that are ordered and reported.
Could cause dire consequences for patients through errors in clerical work.
NUMBERS SUPERVISED
This is a non-supervisory position.
MINIMUM REQUIREMENTS FOR THE JOB
No special licenses or registrations required.
Typing, computer skills, and medical terminology desired.
EDUCATION
2 years college certificate or equivalent in secretarial sciences.
Prefer Associate of Science/Medical Assistant with emphasis on Anatomy & Physiology and Medical Terminology.
EXPERIENCE
Sufficient secretarial experience, preferable in medical laboratory, pathology field.
