OFFICE MANAGER - HOSP job - Inland Hospital - Waterville, ME

Job Summary:

The Office Manager provides administrative support to the Chief Operating Officer (COO) & Chief Nursing Officer (CNO) of Mercy Health System of Maine.

Responsibilities are typically complex, confidential and require a high level of discretion and initiative due to interactions with high level internal and external contacts.

Responsibilities include administrative, project and office management work, requiring independent decisions within accepted organizational practices.

Supervises and coordinates the day-to-day activities of administrative support in the Operations Office.

Organizes office systems and processes.

The incumbent is expected to resolve problems of a varying nature with minimal direction provided.

The incumbent performs all duties and tasks in accordance with performance standards established for the job. The incumbent may have access to highly confidential patient, employee and/or Mercy proprietary information, and must handle & protect the information in accordance with hospital & system policies, HIPAA requirements and the highest level of ethical standards. The incumbent is responsible for participation in and completion of all patient safety initiatives appropriate to the position, and conducts all job responsibilities according to the Mission and Values of Mercy Hospital.


Education & Experience:


Associate degree in business required or equivalent in work experience and education.

Bachelor’s degree preferred.


A minimum of seven (7) years of experience in this or similar jobs required


Supervisory experience required


Other Skills Required:


Must have judgment and initiative to work independently and autonomously with limited guidance.

Handles highly confidential information.

Must be highly accountable as work impacts employees at all levels throughout the organization.

Excellent interpersonal skills are required, as incumbent must deal tactfully with public, employees at all levels of the organization and board members.

Incumbent must possess a high level of analytical ability to understand, identify and resolve very diverse and sensitive administrative problems.

Must be able to plan, organize and set priorities to assure timely completion of assignments.

Incumbent must have working knowledge of word processing, spreadsheets, data base management, internet, and ability to put together meaningful and clear presentations.
