Staffing Coordinator PCS job - Inland Hospital - Waterville, ME

SUMMARY OF MAJOR FUNCTION

Support position to the Nursing Leaders of Inland Hospital, providing primarily clerical and scheduling support.


ESSENTIAL FUNCTIONS AND WORK ROLE RESPONSIBILITIES


1. Maintains staffing sheets with staffing schedules for each nursing unit.


2. Facilitates staffing activities based on the needs identified by the nurse leaders. This includes calling staff, managing schedules, working with travel agencies, etc.


3. Answers telephone inquiries.


4. Performs a variety of clerical and other necessary duties, such as ordering supplies, filing, maintaining records, files and maintains clinical policies.


5. Types reports, letters, memos, & forms upon request.


6. Performs edits for time and attendance in API.


7. Updates Labor Analytics tools for distribution.


8. Performs other essential duties as required.


PHYSICAL ENVIRONMENT


Generally pleasant working environment. May be exposed to patient elements. May be exposed to hazardous substances. Frequently, multiple tasks must be addressed in a rapid fashion.


PHYSICAL CRITERIA/EFFORT


Sitting at desk/office equipment for prolonged periods of time. Constant hand motion involving writing, typing and answering phone. Mental alertness and visual acuity is constantly required. Bending, squatting, lifting and reaching are also required. The incumbent is at times subject to frustration and fatigue.


OCCUPATIONAL RISKS


Failure to follow established procedures could result in back injury or strains from lifting, bending over the desk, or falls and bruises from overcrowded office. Also pulls and strains from repetitive hand motions. Glare from lights could cause eye strain.


PROBABILITY AND CONSEQUENCES OF ERRORS


Errors could result in the loss of revenue for the hospital.


NUMBERS SUPERVISED


This is a non-supervisory position.


MINIMUM REQUIREMENTS FOR THE JOB


· High school education with continuing education a plus.


· Medical terminology, and computer skills required.


· Good telephone skills.


· Must be able to deal effectively with the public, and with fellow employees and maintain confidentiality at all times.


EDUCATION


High school graduate with some college preferred.


EXPERIENCE


Two to three years secretarial experience preferred.


SPECIAL KNOWLEDGE REQUIRED


Typing at 60+ wpm with knowledge of word processing systems including: Word/Excel/Access and Outlook.
