Staff Associate for Student Financial Services - University of Maine at Augusta - Augusta, ME

The University of Maine at Augusta seeks applications for a full-time Staff Associate for Student Financial Services. This position supports management of core operational functions in student financials, such as third party billing, transfer of financial aid to students’ accounts, oversight of document imaging, student billing production, and routine periodic maintenance and setup of data tables in MaineStreet. The Staff Associate represents the department on various matters and is expected to enforce departmental policies and procedures related to student account receivables, System policy, and State and Federal regulations where applicable. Responsibilities include: processing all collection activities; performing batch and individual posting processes to student accounts receivables; coordinating the transfer of aid to students’ accounts and issuance of aid refunds in accordance with regulatory requirements; overseeing the billing process; processing daily cashiering receipts and completing and posting the general ledger journal recording daily cash deposited; processing transfer of student financial aid to other UMS campuses for multi-campus students. The starting salary for this position is low thirties, commensurate with qualifications and experience. The University offers an excellent fringe-benefits package.

Qualifications: Requirements: Baccalaureate degree in business, or a related field; excellent organizational, interpersonal, and communication skills; demonstrated attention to detail, accuracy, and efficiency; ability to work independently and as a member of a team; one to three years experience supervising accounts receivable, accounting, finance, or related operation; computer literacy with strong background in Microsoft Excel. Preferences: experience in college account receivables management, accounting, finance, or related operation; knowledge of financial aid regulations; MaineStreet/PeopleSoft experience.

ORGANIZATIONAL RELATIONSHIPS:
Reports to Associate Director of Student Financial Services

Coordinates primarily with Financial Aid, Finance, University College, Admissions, and the Registrar’s Office

Supervises, trains, and evaluates student employees

PRIMARY PURPOSE OF POSITION

This position supports the Associate Director and Director of Student Financial Services in managing core operational functions in student financials, such as third party billing, transfer of financial aid to students’ accounts, oversight of document imaging, student billing production, and routine periodic maintenance and setup of data tables in MaineStreet. At times, this position speaks on behalf of the department and is expected to enforce departmental policies and procedures related to student account receivables, System policy, and State and Federal regulations where applicable.

POSITION RESPONSIBILITIES


Major duties:
Responsible for processing all collection activities which include sending students to first and second collect, writing off account balances, sending students to tax offset, managing the Collections Database.

Perform batch and individual posting processes to student accounts receivables including, but not limited, to waivers, late fees, past due holds, book vouchers, payment plans.

Coordinate the transfer of aid to students’ accounts and issuance of aid refunds in accordance with regulatory requirements. Utilize MaineStreet’s Message Center functionality to issue 14-day loan notifications to student borrowers as required by federal funding sources.

Oversee the student billing process, including assisting the Associate Director with the development of the term billing calendar utilized to schedule tasks and processes in MaineStreet integrated functionality.

Process daily cashiering receipts for frontline staff and complete and post the general ledger journal recording daily cash deposited. Complete assigned general ledger account maintenance and reconciliations (i.e. suspense and cash clearing).

Processes transfer of student financial aid to other UMS campuses for multi-campus students.


Secondary duties:
Additional duties including service coverage on phones, front desk, emails; supporting software such as Global Payments,TouchNet,online third party billing systems.

Assist with financial aid processing, as needed – may include answering calls, assisting students, and special project management as appropriate.

Performs other related duties as assigned by the Associate Director of Student Financial Services.

Represents UMA on University of Maine System committees.

BUDGETARY RESPONSIBILITIES

Assists with the Student Financial Services budget and Bank Charges account.

Works with the Associate Director to assist with the resolution of identified reconciled items from checking, cash, clearing, receivables, loan, and liability accounts.

SUPERVISORY RESPONSIBILITIES

Supervises work study students as appropriate.

PUBLIC AND PROFESSIONAL ACTIVITIES RELATED TO JOB PERFORMANCE

Continues to develop academically and professionally by attending meetings, workshops, conferences, seminars and other professional activities.

Participates in public service activities, as appropriate.

Participates in UMA community activities/committees, as appropriate.


KNOWLEDGE AND SKILLS QUALIFICATIONS:Minimum Qualifications:
Baccalaureate degree in business, or a related field.

Excellent organizational, interpersonal, and communication skills.

Demonstrated attention to detail, accuracy, and efficiency.

Ability to work independently and as a member of a team.

One (1) to three (3) years experience supervising accounts receivable, accounting, finance, or related operation.

Computer literacy with strong background in Microsoft Excel.


Preferred Qualifications:
Experience in college account receivables management, accounting, finance, or related operation.

Knowledge of financial aid regulations.

MaineStree/PeopleSoft experience.
